Check the work planning at the end of the day

When you make a schedule, you can never be 100% sure in advance that it can be completed on the same day. For that reason, at the end of your day, it is a good idea to check the work schedule to see what is still open.

To Do's can have four statuses, namely:

  • Open: nothing done with the To Do, is still open
  • In Progress: someone is working on it, but it is not yet completed
  • On Hold: the To Do is paused because it is waiting for an external party or an order.
  • Completed: the To Do is finished

The most ideal situation is, of course, that at the end of the day everyone has been able to complete their To Do's. In practice, however, this is not the case, so you still have to reschedule things. You can easily see in the work schedule which items still require action.

Above, see Demo's work schedule on Oct. 6. You can see a few different things here:

  • A To Do with a yellow ball: the top To Do (review concept) has an orange ball next to its title. This indicates that the status of this To Do is currently In Progress. The color of the ball matches the color of this status in SIMA
  • A To Do with a blue bullet: the second To Do (First check house) has a blue bullet next to its title. This indicates that the status of this To Do is currently Open. The color of the bullet matches the color of this status in SIMA.
  • A To Do with a red bullet: the third To Do (Add Bank Account) has a red bullet next to its title. This indicates that the status of this To Do is currently On Hold. The color of the bullet matches the color of this status in SIMA.
  • A To Do with a green bullet + it is grayed out: the fourth To Do (New location admin) has a green bullet next to its title. This indicates that the status of this To Do is Completed. To further emphasize this, it is additionally gray and crossed out. So this literally stands for; this task is completed and crossed out from the list. The color green obviously corresponds to the color of the status in SIMA.

At the end of a work day / the next day, it is therefore always good to check the status of the work schedule; is everything completed and if not, what will I reschedule? Always take a look at the update comments on the To Do's so you can also possibly find out this way why it is still open. This may help you with rescheduling a To Do. Rescheduling a To Do can be found here and works the same as initially scheduling a To Do.
